Most hotels use computers to keep track of reservations and guest accounting. The system includes a few work stations, placed a the front desk, and a server, located in an equipment room, that stores the data. These computers are networked together and includes a few printers. This group of computers are known as Property Management System or PMS. Interface
Interfacing means that some other equipment is physically connected to the server and sends and received data from the server. Equipments such as PABX, Voicemail, Call Accounting and in-room movies may be connected to the PMS.
Call Accounting Interface
Call records from PABX is sent to the call accounting system for pricing. A priced call record is then sent to the PMS. The PMS software stores this call record to the corresponding room folio. The charges for these calls are added to the guests bill.
PABX Interface
Upon checking In a guest from the front desk work station, the server send data to the PABX. This data changes the setting on the guest room phone such that:
- Guest's name is displayed on all display phones
- Clears any wake-up calls
- Unrestricts the phone for outgoing calls
- Removes do not distrub
- Turns off Message Waiting light on the phone
Upon checking out a guest from the front desk work station, the server send data to the PABX. This data changes the setting on the guest room phone such that:
- Delets the guest name
- Restricts the phone for outgoing calls
Voicemail Interface
Upon Checking in a guest the voicemail box is enabled so that messages can be recorded in the guest room mail box
Upon Checking out a guest the voicemail box is disabled so that messages can not be recorded in the guest room mail box. All messages and wake-up calls are deleted
